Pulse is the internal sales tool of Valemont (“we”). This notice explains what the app collects, why, and who processes it. Pulse is used by our team to manage outreach to business owners; it is not a consumer product. Two parts of it are open to people outside the team — our job application form and the seller inquiry form on our website — and those are called out below.
What we collect
- Account & profile: your name, email, phone, photo, and role.
- Activity: dials logged, leads and deals you work, notes, goals, and wrap-ups.
- Prospect data: business contact details (owner name, phone, email, location) for the businesses we approach.
- Call recordings & transcripts where calls are recorded, and emails synced from the connected shared mailbox.
- Job applications: if you apply through our form — your name, email, phone, work-authorization answer, written answers, a short self-recorded video, and the IP address you applied from.
- Seller inquiries: if you contact us through the form on our website — your name, email, phone, business details, your message, and the IP address you sent it from.
- Product analytics & session replay to improve the app and for coaching.
Automated and AI processing
Pulse uses automated systems, including large language models, on much of the content above. Specifically:
- Call recordings are transcribed automatically, and those transcripts are summarized, scored against our call framework, and used to generate coaching notes.
- Deal and lead information — including the seller’s name, company, asking price and financial figures, plus rep notes — is summarized into deal briefs.
- Job applications are scored automatically before a person reviews them. The model reads your written answers and flags them against our criteria. A human makes every actual hiring decision; the score is an aid, not the decision.
- The in-app coaching assistant sends what a rep types to a language model to answer it.
This processing runs on Groq’s API. Audio, transcripts and text are sent there to be processed and results returned; it is not used to train public models. If you would rather your application were not scored automatically, say so at the address below and we will review it manually.
Service providers
We share data only with the vendors that run Pulse, each processing it only to provide their service:
- Supabase — database and sign-in.
- Vercel — hosting.
- Cloudflare R2 — file, recording and video storage.
- Google — the connected Gmail mailbox, Drive (archive and backups), and Street View imagery for storefronts.
- Groq — the AI processing described above.
- Fathom — meeting recording.
- Zcal — meeting bookings.
- AgentMail — automated email Pulse sends to our own team.
- Slack — internal alerts, which can include inquiry details.
- PostHog and Microsoft Clarity — analytics and session replay.
- jsDelivr and Hugging Face — deliver the in-browser transcription model to your device.
- Your browser vendor’s push service (Google, Apple or Mozilla) if you turn on notifications.
Analytics & session replay
Product analytics and session replay load only after you acknowledge the notice shown in the app, and only for team members using Pulse — never on the public application or inquiry forms. Session replay records how the interface is used so we can find rough edges and coach from real workflows. Treat a replay as capable of showing anything visible on screen at the time, and do not rely on it being redacted.
How long we keep things
- Deleted deals, leads and recordings go to Trash and are removed from our primary storage after 30 days.
- Call recordings are also archived to Google Drive, and that archive is kept indefinitely unless you ask us to remove it.
- Nightly database backups are written to Google Drive and currently kept indefinitely, so recently deleted records can persist in a backup after they leave the app.
- Everything else is kept for as long as it is useful to the business.
We would rather be accurate than flattering here: a deletion in the app is not instantly a deletion everywhere. If you ask us to erase something, we remove it from the archive and backups too — that part is manual today.
Your choices
To request access to, correction of, or deletion of data about you, a prospect, or your job application, contact arthur@valemg.com and we will action it manually.
